What we collect

Quote data: origin and destination ZIP codes, vehicle year, make, model, operability, service tier and requested dates.

Contact data: name, email, phone number, and any message you send us.

Account data: your sign-in identity, role (customer, carrier, admin) and the shipments tied to it.

Shipment data: pickup and delivery addresses, condition photos, Bill of Lading signatures, milestone timestamps and messages exchanged with your carrier.

Carrier data: company name, MC and USDOT numbers, insurance certificates, lane preferences and wallet transactions.

Technical data: IP address, device and browser information, and pages viewed, used to keep the service secure and to measure demand by lane.

Why we use it

To price your move, match you with a qualified carrier, run the shipment end to end, process payments, prevent fraud and double-brokering, resolve damage claims, and improve pricing accuracy across lanes. We also use aggregated, de-identified lane data to publish market rate benchmarks; that data never identifies you.

Who sees your information

Our broker of record receives the shipment details needed to place your move under its brokerage authority and to keep the transaction records federal rules require of a broker.

Carriers who purchase your lead, or who are assigned your shipment, receive the contact and pickup details needed to perform the move. Carriers are contractually barred from using that data for anything other than your shipment.

Service providers process data on our behalf: payment processing (Stripe), infrastructure and database hosting, and AI models used for quote assistance and support answers. We do not sell your personal information.

Payment data

Card details are entered directly with our payment processor and never touch our servers. We store only the transaction identifier, amount, and status needed for receipts and refunds.

AI processing

We use AI models to score leads, draft support answers, read vehicle photos, and summarise operations for our team. AI outputs are treated as suggestions; decisions with financial or legal consequence — refunds, claim payouts, account removal — are made by a person.

Retention

Shipment records, Bills of Lading and claim files are kept for seven years to satisfy transportation and insurance recordkeeping requirements. Abandoned quotes that never became shipments are purged after 24 months. Marketing email subscriptions end the moment you unsubscribe.

Your choices

You can access, correct, export or delete your personal data by contacting us. Deletion requests are honoured except where we must retain records for legal, tax or insurance reasons. You can unsubscribe from price alerts and marketing email at any time from the message footer.

Security

Data is encrypted in transit and at rest, access to production data is limited to staff who need it, and row-level database rules ensure a carrier can only read the shipments and leads they are entitled to.

Cookies and analytics

We do not run advertising pixels, third-party trackers or cross-site profiling. Page views are recorded with a first-party, anonymous session identifier stored only for the length of your browser session, so we can see which pages and lanes convert. The only long-lived browser storage we set is your sign-in session and a flag remembering that you dismissed our privacy notice.

Calls and text messages

If you provide a phone number and check the consent box on a quote, you agree that TankWorldWide and up to three verified carriers may contact you by phone, text or email about that shipment, including with autodialed or prerecorded messages. Consent is never a condition of purchase, message and data rates may apply, and you can reply STOP to any text or tell us in writing to stop calling at any time. We store the exact consent language, the timestamp and the quote it applied to.

Children

The service is not directed to anyone under 18 and we do not knowingly collect their data.
